A Day in the Life

Maricel

Professional VA, paired with a 14-person psychiatric practice in Vermont

Tuesday, 7:00 a.m. Eastern. Maricel has been at her desk in Manila for three hours already. The inbox is at zero — overnight insurance verifications cleared, three patient reschedules confirmed, two pharmacy callbacks logged. The clinician opens her laptop to a one-screen brief: nine items needing a yes-or-no, a draft response to a referring physician for review, and a flag that one of the long-term patients has missed two appointments and probably warrants a personal call.

Through the morning, Maricel runs the calendar against the practice's intake rules — no first-time patients in the last slot of the day, no telehealth back-to-back with in-person, blocked time around the clinical director's standing supervision. She sits silently in the daily 9:30 huddle on Zoom, takes minutes, and posts them into the shared workspace before the meeting ends. When a vendor calls about the new EHR migration, she takes the call, asks the three questions on the SOP, and books a follow-up only if the answers warrant it.

How fast can a VA start?

Median time-to-desk is 4.2 days from a signed brief. We do not start a search; we present from a vetted bench we already maintain.

Will my VA only work for me?

Yes. Every operator is paired one-to-one with one client. There is no shared pool, no rotating assignment, no time-shared rep.

What happens if it is not a fit in the first month?

We replace the operator at our cost and credit the days lost. We have done it; it is rare. Roughly 1 engagement in 30.

Can my VA work US hours?

Yes — Eastern, Central, Mountain, or Pacific. Most clients pick a 9–6 in their own timezone. Operators are compensated for night-shift work; the rate to you is the same.

How is access and security handled?

Operators work from our Manila office on managed hardware, behind a VPN, with password-manager-only credential handoff and quarterly access reviews. We will sign your security questionnaire.

Can the VA handle PHI / regulated data?
